- General guidelines, which will serve to help guide the organization of each session.
| RULES AND GUIDELINES FOR SESSION CHAIRMEN AND RAPPORTEURS |
Introduction
Following document has been prepared to provide the Session prior to the Conference, Chairmen / Rapporteurs of Conference technical session for them to finalize with:
Structure of a Meeting
1. Paper session will be 90 minutes gross in length. The session shall have the following activities:
a) Short introductory remarks by the Rapporteur/Chair.
b) Presentation of papers by authors (20 minutes each).
c) General floor discussion of the papers (10 minutes each).
2. The Session Rapporteur would be free to use variations of this general procedure.
3. It is the responsibility of the Rapporteur to:
a) Select the invited authors and to suggest which aspects each has to cover;
b) Supervise the production of the invited papers with respect to contents, quality and time;
c) Select the invited discussants, if necessary;
d) Send a copy of the “Memorandum for Invited Authors and Discussants” to his/her invited authors and discussants together with an official invitation to participate in the session as an author/discussant.
4. Session Rapporteur shall prepare session schedule to be submitted to the Conference Secretariat.
5. If a Rapporteur is unable to perform his/her duties, he/she should inform the National Organizing Committee/Conference Secretariat at the earliest.
Reports by Session Rapporteur
1. When the titles of the papers have been finalized, the Chairman/Rapporteur should report them to Conference Secretariat.
2. When the set of authors is completed, the Rapporteur should report their names and addresses to the Conference Secretariat soon after the Session.
3. The Rapporteur should also report to Conference Secretariat about changes in previous reports, in particular, any cancellations of papers, including the names of their replacements.
